MINUTES OF VIDYALAYA MANAGEMENT COMMITTEE MEETING HELD ON 09-09-2009
A meeting of the Vidyalaya Management Committee was held in the Chairman’s office (Conference Hall, INS Venduruthy) at 1100 hrs on 09-09-09.

Cmde S K Jha, Chairman, Vidyalaya Managemnt Committee, in his preliminary address expressed satisfaction with the good inputs registered by the Vidyalaya in cultural activities. The Red Indian and Jaiho dances came in for special mention.
He expressed his anxiety over the inordinate delay in making the sump operational and the construction of the computer lab. He asked the principal to co-ordinate with MES in expediting both. The GE (E&M) who was present in the meeting assured that both will be given priority. But for the water and electric connection to the new sump for which amount required by MES has been remitted the sump can be made operational.
He also expressed his concern for the performance in the Board Exams 2009 which needs to be looked into. The faculty of the Vidyalaya should take serious note of it as the academic standard of the Vidyalaya is an issue on which there is no room for compromise and in which teachers are directly involved. Responsibility has to be fixed wherever necessary. No effort should be spared to achieve good results.
He also called for greater thrust in sports and games which promote character building team spirit and leadership qualities and outreach programmes for better interface with local communities.
1. Review of Minutes of the last meeting
Sump
But for electric & water connection, for which an amount of Rs. 1,93,850/- has been deposited with MES, the sump is complete.
White washing & Painting
Except for the external portion of the walls of one wing to be painted, the work is complete.
Renovation of toilets and Leak-proofing
Complete. However leak experienced at some areas during rainy seasons has been brought to the attention of MES for rectification after the rains.
Construction of the Computer room
In fast progress. Expected to be operational by end December.
As for maintenance, repair and other repair works proposed for 2008-2009, only the first phase construction of a platform could be taken up due to paucity of funds in VVN. An amount of Rs.2510000/- had been transferred from VVN to School Fund for payment of salaries during 2007-08 and 2008-09. Rs. 10 lakh out of the amount was reimbursed only in April 2009 and another Rs. 1510000/- is yet to be reimbursed to VVN.
Garbage disposal and no plastic zone
Programmes for raising awareness of the children in effective garbage disposal and control in the use of plastic in daily life were held in the Vidyalaya.
2. BUDGET ESTIMATES FOR VVN AND SCHOOL FUND
Principal presented the budget estimates for VVN and School Fund for the year 2009-10 and the committee approved of them after discussion.
The committee expressed its concern about the dip in the results, especially in Mathematics in class XII and advised that no effort should be spared to improve the performance of the Vidyalaya in Board Exams.

The following members nominated to the Vidyalaya Management Committee and, consequently, two of them, a parent member and a teacher member, to VEC were welcomed to the first meeting.

7. PROPOSALS FOR MAINTENANCE / REPAIR WORKS / PURCHASES
A) CONSTRUCTION OF THE STAGE
Principal reported the completion of the first phase of the stage. He presented a proposal for the second phase at an estimated expenditure of Rs.101000/- (Rupees One lakh Ten Thousand). The committee approved of the proposal in principle, but advised the estimate & plan be placed before the executive Committee along with the comparative statement of rates. The procedure laid down for such work may be followed and work completed with the approval of the Executive Committee.
B) PROCUREMENT OF COMPUTER TROLLEYS
Proposal for procurement of twelve computer tables (trollies) at an estimated cost of Rs.3000/- each (ie,Rs.36000/-) was approved by the Committee. The Committee advised to procure them through the good offices of the Chairman from Naval Canteen stores Department, or, alternatively ascertaining and comparing the rates from dealers following the purchase procedure.
C) PROCUREMENT OF WEED CUTTER
The proposal for purchase of a weed cutter at a cost of Rs.30367/- along with the comparison of rates was placed before the Committee. The Committee referred the Comparative statement to the Executive Committee for its scrutiny and approval.
D) PROCUREMENT OF SIX 2TON SPLIT ACs
The proposal for purchase of six 2TON SPLIT Air conditioners three for the Audio – Visual Room and three for the new Computer Room which is under construction was placed before the Committee. The estimated cost was Rs. 30,000/- each (ie, a total expenditure of Rs. 1,80,000 (Rupees One lakh Eighty Thousand only). The committee approved of the proposal in principle subject to the technical feasibility of installing them from the point of view of power supply. If feasible, the procurement may be made through approved Govt. agencies (Canteen stores Department, if possible) or following the laid down purchase procedure.
8. REPORT ON ACTIVITIES 2008-09
Principal presented the highlights of activities and achievements in 2008-09.
HIGHLIGHTS (ACTIVITIES & ACHIEVEMENTS)
- Workshop in Confidence Development and Effective learning strategies for class X and XII students lead by Professor Clement D’Souza from Mangalore on 1.09.2008 and 2.9.2008.
- Presentation / interaction on Developments in Space Technology in India for students of class IX to XII by Mrs.Helen Baril, a Senior Scientist in VSSC Thiruvananthapuram on 27.9.2008.
- School level exhibition on the development of Space Technology in India on 22.10.2008. School adjudged as the best participant by VSSC Thiruvananthapuram.
- A counselling session on ‘Stress Management’ for students of class IX to XII by Mrs. Vijaya Balakrishnan, special Educator and Counsellor PVS Hospital ,Kochi on 25.10.2008.
- A counselling for students on Systematic and value based living and effective study skills by Dr. Joe Joseph from Thiruvalla on 17.11.2008.
- Dr. A A Mohammed Hatha, Reader, Department of Microbiology CUSAT gave a talk on bio-diversity to students of classes IX to XII on 28.02.2009.
- Vidyalaya hosted the two day workshop for Vice Principals of Chennai Region in Spoken English on 16.03.2009 & 17.03.2009.The The 12 day Inservice Training for 52 selected Trained Graduate Teachers in Chennai and Bangalore Region(Kerala, Tamil Nadu, Pondicherry, Karnataka, Goa) of KVS from 19.5.2009 to 30.5.2009, Principal being the Director for both the courses.
ACHIEVEMENTS
1. Master Dibin Sivadas , VII C a child prodigy’s achievements in 2008-09
- National level winner in sketch the ‘1’ Grand finale organized by Hyundai Corporation and went on an educational trip to South Korea.
- III position in the National level painting organized by the Indian Council of Child Welfare.
- Gold Medal in all India KVS Child Art Exhibition at KV ONGC Rajamundry.
2. Anu Joseph, class IV was selected for state level painting competition conducted by NTPC on the theme Energy Conservation.
3. Four students won cash prize of Rs.5000/- each in the All Kerala Painting Competition organized by Kerala Lalita Kala Academy.

An additional expenditure for the new electrical / water connection to the sump through MES comes around Rs.27600 and Rs.166250 respectively has been deposited to the Garrison Engineer(E & M) ,Naval Base, Kochi vide cheque No.174304 dated 7-07-2009.The connection to the sump from MES is still on process.
10. OTHER POINTS WITH THE APPROVAL OF THE CHAIRMAN
Career Counselling
Cdr. Jayaprakash suggested organising career counselling session. Mrs. E K Uma suggested holding meditation session. Chairman advised to find out the viability of holding career counselling and meditation sessions drafting the services of experts under the aegis of INS Venduruthy for the benefit of the students of Naval Public School and Kendriya Vidyalaya together.
Cdr. P C Mathew, Principal Naval Children’s School suggested the construction of a Science Park and offered the benefit of the planning done by Naval Children’s School for their Science Park. Cdr. Jayaprakash also suggested the formation of an Alumni Association.While the committee appreciated the difficulty in organising such an association due to the transfer of students, however,advised to make an effort in these lines.
